    The MOW Coordinator is responsible for coordinating the schedules and supervision of the delivery of meals to all Tabitha Meals on Wheels recipients.  The coordinator works with the Food & Nutrition staff, volunteers department, and the Tabitha Navigators to start/implement meal delivery for clients (hereinafter, “elders/clients”).  This position is responsible for directing individual comments, complaints, and problems regarding Meals on Wheels to the appropriate departments.  This position is responsible for providing accurate information in the computer system to generate MOW billing and reports.  The MOW Coordinator schedules volunteers to deliver meals 365 days a year.  This employee strives to uphold Tabitha’s LIVE2Care Culture and actively embraces Tabitha’s Core Values.  As a result, the employee supports Tabitha goals related to dignity, respect, independence, competence, autonomy, personal comfort, safety and security of elders/clients.  In addition, the employee contributes to the success of Tabitha through ongoing collaboration with, coworkers, management, volunteers and others in the organization.



    1. Coordinates the distribution of Meals on Wheels and supervises the volunteers and maintains volunteer data, including hours volunteered.
    2. Provides orientation to volunteers regarding route sheets and the process of delivering meals.
    3. Organizes and assigns volunteers to specific routes, covering all routes on a daily basis, maintaining a five week volunteer schedule.
    4. Creates and maintains route sheets.
    5. Coordinates well-checks on elders/clients who do not answer the door. Attempts to contact elder/client, emergency contacts, or policy.
    6. Manages MOW phone line and email accounts – responding to all communication accordingly with exceptional customer service.
    7. Covers routes to replace volunteers who are unable to deliver or who are no shows.
    8. Maintains record of on-call/snow angel volunteers.
    9. Receives referrals from the Tabitha Navigators and completes computer information for MOW delivery.
    10. Serves as a liaison between elders/clients, families, volunteers and other Tabitha departments.
    11. Maintains elder/client information and participation in the MOW computer, accurately and timely in accordance to HIPAA regulations.
    12. Posts menus for elders/clients in the Lincoln Journal Star and on the MOW hotline.
    13. Request equipment repairs and equipment needs through the Food Services Operations Manager.
    14. Coordinates the distribution of food boxes, donated clothing, and bread.
    15. Documents and maintains accurate elder/client records related to MOW delivery and Aging Partners contract to qualify.
    16. Completes monthly billing process.
    17. Distributes the HIPAA information, new start packets, DHHS calendars, and Block Grant forms to elders/clients.
    18. Manages the Food Box program with donations from Southwood church.
    19. Assists elders/clients with the DHHS process to maintain financial assistance for MOW payment.
    20. Monitors DHHS elders/clients status to maintain financial assistance for MOW payment. Follows DHHS guidelines for meal delivery and cancellation process.
    21. Assists with dishing up for the following day, bringing out coolers for the day, and cleaning coolers if needed.
    22. Prioritizes workload, making adjustments throughout shift to meet frequently changing departmental needs. Willingly takes on additional duties during times of peak workload.
    23. Complies with HIPAA regulations regarding privacy by insuring that Protected Health Information (PHI) is safeguarded at all times. In addition, maintains a high level of confidentiality regarding any matter pertaining to any Tabitha elders/clients.
    24. Consistently uses strength, dexterity, agility and good body mechanics when performing essential functions. Follows appropriate safety and infection control policies and procedures of Tabitha and/or community and regulatory agencies.
    25. Assures reports of broken and malfunctioning equipment are made in a timely manner.
    26. Follows disaster plans and uses strength and agility during participation in preparedness drills and actual emergencies. Maintains a safe work environment.
    27. Completes required training and in-services promptly. Demonstrates understanding of the course content and implements training in daily activities. 
    28. Makes good decisions that contribute to the success of the department.   
    29. Performs work duties within the assigned work environment related to the position, as assigned by Tabitha, regardless of employee preference.
    30. Maintains courteous relationship with supervisors, co-workers, elders/clients, family members, loved ones, members of other departments and volunteers, providing support and assistance to co-workers to ensure quality elder/client care. Volunteers to assist others and seeks opportunities to serve elders/clients/loved ones/coworkers/Tabitha.
    31. Participates in meetings and in-services on both department and company levels.
    32. Maintains a good record of attendance and punctuality as defined by Tabitha’s policy pertaining to attendance and punctuality. Records all time worked accurately and consistently using the timekeeping method provided by Tabitha.
    33. Complies with Tabitha policies and procedures as published by Tabitha and which may be modified at Tabitha’s discretion. Contributes to quality assurance and performance improvement activities by identifying instances of non-compliance and taking appropriate action, including reporting violations of Tabitha policy or regulations as appropriate.
    34. Acts with integrity and in the best interest of Tabitha. Business relationships are conducted in the best interest of Tabitha, free of gifts, cash inducements, gratuities, favors, or other perceived improper inducements.
    35. Willingly completes other duties as assigned.

    COMMUNICATION: Must be able to accurately weigh and measure food ingredients required.  Must be able to speak, read, write, and understand the English language including instructions and labels.  Sufficient fluency to be able to understand and follow written and verbal instructions, provide instruction to others, read and understand labels, read warning signs and/or labels, instructions, policies, procedures or other similar documentation,  hold a conversation, participate in meetings, prepare legible, accurate and thorough documentation as required by the job and interact with coworkers and managers effectively.  Ability to recognize and interpret non-verbal cues.  Ability to respond calmly and clearly to emergencies, heavy workloads and changes in priorities.   


    WORKSITE CONDITIONS: Works indoors in a facility maintained by Tabitha that will typically be in good repair, clean, well ventilated and well lit.  Works in normal office environment and in kitchen environment.  Works near hot oven, grills, and steam tables; works with sharp objects; enters walk-in freezers and refrigerators.    Frequent exposure to cleaning products, chemicals (including hazardous chemicals), wet or slippery floors and loud and/or continual noise.  Frequent exposure to elders/clients, including exposure to elders/clients who are experiencing extremes of emotion.  Occasional travel involved when making emergency deliveries and for speaking engagements.  Works beyond normal scheduled hours and on weekends and holidays when assigned.  Is subject to extended hours or callback during emergency conditions or based upon needs of the organization. 


    PHYSICAL REQUIREMENTS:  Ability to gain access to the work area and then safely perform the duties of the job while utilizing standard and specialized equipment, including but not limited to the equipment described below.  Physical stamina with the ability to perform duties while moving about the work area for the entire shift with few opportunities to sit down and with little or no break between tasks.   Strength and stamina sufficient to frequently and continuously lift, push, pull, reach, squat, kneel, bend, carry, twist, pinch, grasp, climb stairs while carrying supplies, assume and maintain awkward positions while performing duties (such as working to maintain equipment) and manipulating various supplies and equipment.  Frequent periods of intense activity.  Vision within normal limits (with or without correction).  Must have unrestricted lift/push/pull ability and pass a 30  - pound physical exam demonstrating strength and agility prior to employment and from time to time thereafter at Tabitha’s discretion.    


    EQUIPMENT USAGE:   Standard and specialized equipment including but not limited to computer, telephone, fax machine, copier, calculator, warmer, refrigerator/freezer, and MOW packaging machine.


    AGE REQUIREMENT:  At least age 18.


    EDUCATION:  High school diploma or equivalent preferred.


    EXPERIENCE: One year experience in a supervisory capacity strongly preferred.


    CREDENTIALS: Prep/Cook Level Food Handler Permit required.  Valid Nebraska Driver's license (unles otherwise allowed by law) and a good driving record required.  Must possess auto insurance at or above Nebraska statuory requirements.
